Case Study: Replacing Manual Checks with Reliable Entity Intelligence
How we helped a financial-services lender replace manual, state-by-state entity research with automated, real-time entity intelligence.
When a financial-services lender came to us, manual Secretary of State research was slowing their teams down, creating data gaps, and increasing compliance risk. This is how we replaced fragmented manual checks with a scalable, automated source of entity intelligence.
The Challenge
Our client relied on manual, state-by-state desktop research and ad hoc tracking to keep up with borrower entities. It was time-consuming, inconsistent, and difficult to scale, which left teams working from outdated information and absorbing avoidable operational risk.
Their goal was to eliminate the inefficiency, risk, and inconsistency that manual SOS research introduced into ongoing account management and recovery workflows. Working with them, we set out to:
- Reduce the time-intensive manual desktop research required to track borrower entity status, ownership, and registration details across multiple states.
- Improve visibility and accuracy of borrower entity information, which was often outdated or incomplete when gathered manually.
- Enable faster, better-informed decisions around outreach, escalation, and recovery when accounts became delinquent.
- Maintain compliance and reduce legal risk by ensuring recovery and legal actions were based on current, authoritative entity data.
The objective was to replace fragmented, manual SOS checks with a single automated and reliable source of entity intelligence supporting their finance, legal, and operations teams.
The Solution
Our integration engineers, client solution architects, data analysts, QA, and support teams built the implementation end to end. We configured a waterfall that combines the third-party data products this use case required — with OpenCorporates as one of the entity-data sources feeding it — and exposed it to the client through a single governed interface on the Datastruct platform.
We then integrated automated, real-time SOS data updates — entity status, ownership, registered agents, address changes, and dissolution events — directly into the client’s existing account management and recovery workflows, so the right data showed up where their teams already worked.
The Results
Quantifiable improvements included:
- Significant reduction in manual research time across finance, legal, and operations teams.
- Faster escalation and recovery actions due to real-time entity updates.
- Improved efficiency and effectiveness of legal and collections operations over a two-year period.
Other benefits and outcomes:
- Better decision-making with accurate, up-to-date entity intelligence.
- Improved collaboration across finance, legal, and operations teams.
- Greater confidence in compliance-aligned outreach and recovery actions.
Benefits were realized soon after implementation, with sustained improvements in efficiency, decision-making, and recovery outcomes over the following two years.
An unexpected benefit was improved proactive risk identification and earlier intervention on at-risk accounts, driven by visibility into entity changes that the client’s teams were not previously monitoring consistently.
Account management and recovery shifted from manual, reactive processes to automated, proactive, and compliance-aligned workflows, improving efficiency, decision quality, and collections effectiveness.
